Who we are
The Orange Room is an event space and creative hub based in East London, at Ground Floor, 375 High St, Stratford, London E15 4QZ. The Orange Room is run by [Company legal name], whose registered address is [Registered address].

That means we decide how and why it is used, and we are responsible for looking after it under the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018. The Privacy and Electronic Communications Regulations (PECR) also apply to our use of cookies and to the marketing emails we send.
The short version
- We collect what we need to answer your enquiries, reply to your emails and, if you ask for it, send you our newsletter.

What we collect and why
Venue enquiries and viewings
When you enquire about hiring the venue or ask to book a viewing, you use an enquiry form provided by Tripleseat, an events management platform. Tripleseat collects and stores your details on our behalf. These are the details the form asks for and you choose to give us, such as your name, email address, phone number and information about your event, for example the date and how many guests you expect.
We use them to reply to you, talk through your options, arrange a viewing and, if you go ahead, prepare your contract and manage your booking.
Our newsletter
If you sign up to our newsletter, we collect your email address. The newsletter is sent through Mailchimp, which stores your details on our behalf. We use it to tell you what is on at The Orange Room. Like most email tools, Mailchimp can show us whether an email was opened and which links were clicked, which helps us send things people actually want to read.
Every newsletter includes an unsubscribe link. Use it whenever you like and we will stop sending it to you.
Emails you send us
If you email bookings@orangeroom.co.uk or contact@orangeroom.co.uk, we receive your email address, your name and anything else you include in your message. We use this to reply, deal with your request and keep a record of our conversation.
Analytics and advertising (only with your consent)
If you click "Accept" in our cookie banner, we load two tools:
- Google Analytics helps us understand how people find and use our site, such as which pages are visited and how people move between them. It collects information about your device, your browser, your approximate location and how you use the site.
- Meta Pixel helps us measure how well any adverts we run on Facebook and Instagram are working, and can help us show our adverts to people who have visited our site.
If you choose "Essential only", or do not make a choice, neither tool loads. You can change your mind at any time using Cookie settings. Our Cookie Policy has the full details.
Technical information
When you visit the site, the company that hosts it may automatically record basic technical information in its server logs, such as your IP address, your browser type and the pages requested, to keep the site secure and working properly.
Embedded content from other sites
Some pages include content from other services. When that content loads, the service may receive information such as your IP address and may use its own cookies or similar technologies, under its own privacy policy.
- YouTube videos. We embed videos using YouTube's privacy-enhanced mode (youtube-nocookie.com), which is designed to limit what YouTube stores about you. Some videos load when you scroll near them and may start playing automatically with the sound off; others only load when you click to play them.
- Google Maps and our Street View tour. These only load when you scroll to them or click to view them. Once loaded, Google may collect information about your visit.
- The enquiry form. Our enquiry form is provided by Tripleseat and loads from Tripleseat's servers.
Buying tickets
When you buy tickets online for events at The Orange Room, you buy them through third-party platforms such as DICE, Eventbrite or Resident Advisor. You are dealing with that platform, and your details are handled under its own terms and privacy policy. Please check their policies to see how they use your data.
Our lawful bases
UK data protection law says we need a valid reason, known as a lawful basis, to use your personal data. Ours are:
- Contract. Handling your enquiry and, if you book, managing your booking. This covers the steps you ask us to take before a contract is in place, as well as the contract itself.
- Consent. Sending you our newsletter, and using Google Analytics and Meta Pixel. You can withdraw your consent at any time.
- Legitimate interests. Replying to your emails, keeping a record of our conversations, keeping the site secure and remembering your cookie choice. We only rely on this where our interests are not outweighed by your rights and interests.
- Legal obligation. Keeping records the law requires us to keep, such as tax and accounting records for bookings.
Who we share your data with
We only share personal data with the services that help us run The Orange Room, and only what they need:
- Tripleseat, for venue enquiries and bookings
- Mailchimp, for our newsletter
- Google, for Google Analytics (only with your consent), YouTube videos and Google Maps
- Meta, for Meta Pixel (only with your consent)
- Our website hosting, email and IT providers
We may also share information where the law requires it, for example with the police or other authorities, and with professional advisers such as accountants or lawyers where needed. We do not sell your personal data.
Transfers outside the UK
Some of these services are run by companies based outside the UK, including in the United States, so your data may be stored or processed there. When that happens, we rely on the safeguards UK data protection law requires for transfers like these, such as UK adequacy regulations or approved data transfer agreements offered by those services.
How long we keep your data
- Enquiries, bookings and emails: for as long as we need them for the purpose we collected them, such as dealing with your enquiry or managing your event. Some booking records may need to be kept for longer where the law requires it, for example for tax and accounting.
- Newsletter: until you unsubscribe.
- Analytics and advertising data: only as long as needed for the purpose, in line with the settings of those tools.
- Your cookie choice: stored in your browser so we do not have to ask you on every visit. Clearing your browser data removes it.
When we no longer need your data, we delete it or make it anonymous.
Keeping your data safe
We use established service providers and take reasonable technical and organisational steps to protect your personal data from loss, misuse and unauthorised access. No website or online service can be completely secure, but we take looking after your data seriously.
Your rights
Under UK data protection law, you have the right to:
- Access your data: ask for a copy of the personal data we hold about you.
- Rectification: ask us to correct anything that is wrong or incomplete.
- Erasure: ask us to delete your data.
- Restriction: ask us to limit how we use your data.
- Portability: ask for your data in a commonly used, machine-readable format, or ask us to send it to another organisation.
- Objection: object to us using your data, including for direct marketing.
Where we rely on your consent, you can withdraw it at any time. This does not affect anything we did with your data before you withdrew it.
Some of these rights only apply in certain situations. To use any of them, email contact@orangeroom.co.uk. We may need to confirm your identity first. There is usually no charge, and we will respond within one month. If your request is complex, the law allows us more time, and we will let you know if we need it.
Making a complaint
If you are unhappy with how we have handled your data, please talk to us first at contact@orangeroom.co.uk and we will do our best to put it right. You also have the right to complain to the Information Commissioner's Office (ICO), the UK's data protection regulator, at ico.org.uk.
Changes to this policy
We may update this policy from time to time, for example if we start using a new service. The latest version will always be on this page, with the date it was last updated at the top.
